Privacy Policy

This Privacy Policy explains how robotvisible.com collects, uses, and stores information when you use Robot Visible.

What we collect

  • URLs submitted for scanning.
  • Email addresses provided when you create an account or sign in. If you choose “Sign in with Google”, Google shares your basic profile (name and email) to create your account.
  • The customer questions you configure for live AI answer checks.
  • Payment information needed to confirm purchases and manage subscriptions, although payment card details are processed by Stripe and are not stored by us.

How we use your data

  • Generate website scan reports for the URLs you submit.
  • Authenticate your account via a secure email link or Google sign-in.
  • Run live AI answer checks using the questions you monitor.
  • Process and manage subscription billing and one-off purchases.
  • Measure aggregate product usage with Google Analytics if you choose to allow analytics cookies.

Third-party services

  • OpenAI helps generate report analysis. We send the text content of your publicly accessible pages for analysis.
  • Perplexity runs live AI-search answer checks. When you run one, we send the customer questions you monitor (which may include your brand and competitor names) to check whether live answers mention or cite you.
  • Googleprovides optional “Sign in with Google” authentication. If you use it, Google shares your basic profile (name and email) to create your account.
  • Stripe processes subscription billing and one-off payments.
  • Resend sends secure sign-in emails.
  • Neon hosts the managed database where accounts, reports, and monitoring data are stored.
  • Sentry collects error and performance data to help us diagnose issues with the service.
  • Google Analytics helps us understand aggregate site usage when you opt in to analytics cookies.
  • Vercel provides hosting and operational analytics for robotvisible.com.

Data storage

  • Reports are stored so they can be accessed after generation.
  • Scan data is retained for 90 days.
  • Payment references are retained for accounting purposes.

What we don't do

  • We do not sell your data.
  • We do not track you across other sites.
  • We do not access authenticated or private pages.
  • We do not store payment card details.

AI disclosure

Reports are generated using AI. We send the text content of your publicly accessible pages to OpenAI for analysis. When you run AI answer checks, we also send the customer questions you monitor to Perplexity's live AI-search API to check whether your brand is mentioned or cited. We only ever send public page content and the questions you configure — never data from private or authenticated pages.

Connected publishing content

When you connect GitHub or Shopify and ask Robot Visible to prepare or apply a fix, we process the repository files or Shopify resource fields needed to identify the target, prepare the preview, validate that the content has not changed, and carry out the approved update. This can include excerpts of source files, product and collection descriptions, page or article bodies, resource identifiers, and content hashes. We do not use connected access tokens as AI prompt content.

AI-assisted fix proposals

To draft an evidence-backed content proposal, we may send the relevant buyer question, short evidence excerpts, existing target content, and limited brand context to our AI service provider. We minimise the material sent and do not intentionally include repository secrets, access tokens, environment files, unpublished resources, or unrelated private content. Generated proposals are reviewed under the product's automated and human validation rules before they can be approved.

Fix history and undo data

We store fix proposals, approval and application history, target/content hashes, and limited evidence so that previews remain consistent, repeated requests are safe, and results can be measured. For Shopify changes, we may temporarily store the previous and resulting field values to support conditional undo. Full before-and-after Shopify values are removed after the documented undo period or earlier when required by account deletion or Shopify privacy requests; limited hashes and operational records may remain for integrity and audit purposes where permitted.

Your rights

Disconnecting a publisher stops new automated changes. Deleting a monitored site disables its publishing binding. GitHub installation removal, Shopify uninstall or redaction, report deletion, and account deletion remove or redact connected fix data according to the applicable retention and legal requirements.

Cookies

We use essential cookies for session management and authentication. If you opt in, we also use Google Analytics cookies to understand how visitors use the site in aggregate. You can continue using the service without accepting analytics cookies.

Under UK PECR and the EU ePrivacy Directive, essential cookies that are strictly necessary for the service to function do not require consent. We ask for consent before loading Google Analytics because it is optional and used for measurement rather than core service delivery.
